Mediation Overview

Whether you are a mediator, lawyer or an HR manager looking for somewhere to book and organise a mediation or arbitration, it is vital to find a venue that suits you best.

Frequently, the Edinburgh Training and Conference Venue brings parties together to meet in the middle of Scotland’s capital to resolve issues in our dispute resolution venue.

One very important principle of mediation states that the process must be neutral and free from bias. That is why we provide an alternative to a business premises or solicitors office setting by offering a neutral venue that can be agreed by all parties and is easily accessible.

With a city centre location and excellent public transport links, the Edinburgh Training and Conference Venue has great facilities for mediations.

Mediation Rooms

Two small meeting rooms will be set up, one for each party, that will have a table and chairs for the number of people specified. Both rooms will have a flipchart and pens, a table of refreshments and we understand it can be a difficult time for both parties so a box of tissues is provided.

One large meeting room will be set up in a boardroom layout to comfortably seat the total number of people. This room will also be the base for the mediator(s) for the day.

The three rooms will be on the same floor unless specified, however, the two small rooms will be at opposite ends of the building to ensure the utmost privacy. 

Food and Drink

All attendees will have access to tea, coffee, water and biscuits that will be set up in each individual room. This will be topped up throughout the event at times that can be agreed on the day.

With lunch, an assortment of sandwiches and wraps - with the consideration of dietary requirements - together with fruit/home baking/fresh juice can be delivered to each of the three individual rooms at times to be agreed on the day. A member of staff can discuss this with one of the main contacts on the morning of the day. 

What we can do for you: 

  • With a variety of small & medium rooms spread over three floors, there is plenty of scope for participants representing different sides to have a discreet setting.
  • Your parties will be met at reception and shown directly to the room that you have specified, particularly useful if you don’t want the parties involved encountering each other before the meetings begin.
  • Every room has access to a projector if you need it
  • A table with tea, coffee and biscuits can be set up in separate rooms, similarly, buffets can be served self-contained in each room to avoid parties clashing. 
  • For any parties that have to travel, there are arrangements in place with nearby hotels and apartments that offer a small discount
  • We make sure that both waiting rooms are at separate wings of the Venue with the added ability for one party to only use the stairs and the other the lift to reduce the chances of meeting each other. 

Availability of facilities

Rooms can be available from as early as you require them as the Venue is open 24/7 with someone always on hand to look after you. 

We understand that in some cases mediation events may go past the initial finishing time but rest assured that we are able to facilitate your stay for as long and late as is needed.

Features & Facilities

Reception and the Operations Team: Responsible for making sure your event runs smoothly and dedicated to delivering outstanding service. For a mediation event, we prefer to hold a sheet of names and tick people in to prevent one party from seeing details of another party. The team are happy to assist you with any aspect of your visit from equipment assistance, looking after catering requirements and on hand to assist with general enquiries.

Layout and Privacy: The rooms are suitable for arbitrations, mediations or depositions, typically set up in a boardroom or U-shaped layout for however many will be in attendance with break-out rooms as required. All the walls are thick enough to prevent the chance of anyone listening or looking in, however, for extra measures we arrange break-out rooms to be at other ends of the building.

Invoicing: During mediations, we are frequently asked whether we are able to separately invoice each party, and the answer is, yes, of course! “If we Can, We Will!”. Understandably, both parties will look to split the cost of a mediation and by separately invoicing parties may wish to avoid further communication.

Internet Access and AV Facilities: A fast and reliable wireless internet connection is available throughout the entire building. You also have the option of a private network if you need it, giving you dedicated, secure, protected bandwidth. If any parties require any audio visual facilities we ask that you let us know in advance to be able to set it up. There is always technical support in the Venue if ever you have any problems.

Printing Services: Our team are more than happy to help with any additional printing, scanning, copying and faxing of any documents that you may require for your mediation. We are happy to provide the first 50 black & white pages as a complementary thank you for choosing us. We are also happy to receive documents and packages prior to your event to be stored safely until required.

Assisted Access: If any individuals require assistance, arrangements can be made to facilitate their needs; offering disabled access and toilets, hearing loops and the consideration of service dogs. There is an NCP car park just around the corner from the Venue that offers a 10% discount to all ETCV visitors and the Sales team are very happy to provide advice on any accessibility questions.

Catering: Our onsite restaurant can help cater to your every need. With each party having a self-contained buffet, you will receive a pre-order form on the day with a menu to suit everyone. If you have any specific requests or dietary requirements, we’d be delighted to accommodate you where possible.

Our Commitment To You

Rest assured we strive to do our best to make you and your parties feel comfortable. Mediations can be emotional for your attendees and we will do whatever possible to ensure you and your parties have everything you need to reduce any stress and to allow you to focus entirely on the mediation. 

You can ask us for anything, whether that’s to; put tissue boxes in rooms for parties; provide cameras to record the mediation; or to shred any private and confidential documents at the end of the mediation. 

Confidentiality, trust and respect are central to our core activities. We understand the wide variety of contexts involved with your mediations so our team of impartial staff are dedicated to providing you support where needed and providing you with maximum privacy and the least interference.

Parties are guaranteed a quiet, relaxed and private environment to focus on resolving their dispute. To make sure that your mediation is as discreet as possible, room signs will not include a company name or event name and prior to your start we will confirm what time buffets can be set up in each room, alternatively come into the office and lets us know so we don’t disturb you.
