The details that actually shape the day, for you and for your delegates, tend to be the ones that don’t always make it onto the venue’s website.

We have been running conferences at Edinburgh Training and Conference Venue for over 20 years. In that time, we have seen what works and what doesn’t. This is our honest account of the things worth asking about before you commit to a booking.

The room is only part of it

Most venue searches start with the room: how many people does it hold, how much does it cost, where is it located. Those are the right starting points, but they are not the whole picture.

What makes a conference run well is everything around the room. Is the tech set up and tested before the first delegate arrives, or will your speaker spend 20 minutes fiddling with cables? Is someone available throughout the day to adjust the room temperature, replenish refreshments and handle the small issues that always come up? Is the catering properly timed so breaks actually feel like breaks?

These are the questions worth asking, and the answers will tell you more about a venue than the photos on their website.

Technology that works first time

Technology failure is one of the most common things that disrupts conference days. Projectors that won’t connect, video conferencing that drops out, microphones that feed back. None of it is dramatic on its own, but it sets a tone for the day that is hard to recover from.

At ETCV we test every room before each event. Our team checks the connection before your first delegate arrives, and we carry adaptors for every common connector type because we know people turn up with different devices. If something goes wrong on the day, someone is on hand to fix it quickly.

Catering that supports the day

Catering is one of those things that has an outsized effect on how delegates feel about a conference day. When it’s good, people stay energised and focused. When it’s poor or badly timed, it becomes the thing everyone mentions on the way home.

Our chef team prepares everything on site. Morning coffee and pastries, mid-morning refreshments, a proper lunch from our restaurant, and afternoon tea. Dietary requirements are handled without fuss, and we ask about them at the booking stage rather than on the day.

We also have a communal coffee lounge area where delegates can take breaks outside the main room, which makes a genuine difference to the feel of a long conference day.

A team that stays with you throughout the day

One of the most common pieces of feedback we receive is that our team were present and helpful throughout the day, not just at check-in. That is deliberate.

Our duty managers monitor every event from the moment the first delegate arrives. They notice when a room needs to be rearranged, when refreshments need replenishing and when something needs adjusting before it becomes a problem. The goal is for you to be able to focus entirely on your content and your delegates, confident that the logistics are in safe hands.

Location and accessibility

We are five minutes on foot from Edinburgh Waverley Station, right in the heart of the Old Town. For delegates travelling from across Scotland or from further afield, that proximity makes the start of the day noticeably smoother.

The venue is fully accessible with a lift to every floor. We also have a concessionary parking rate at the NCP on Holyrood Road for anyone driving in, and we are well served by bus and tram routes.

  • How is the technology set up and tested before the day?
  • Who is available on site throughout the event if something goes wrong?
  • How is catering timed and what happens with dietary requirements?
  • Can the room layout be changed and how much notice do you need?
  • What is included in the hire price and what is charged separately?
  • How easy is the venue to reach by public transport and on foot?


The answers will give you a clear sense of how experienced the venue is and how much they care about what happens once you’ve signed the contract.
